Refund & Cancellation Policy

How subscription cancellations operate, our data-purge lifecycle, and refund eligibility standards.

Public Beta Status Notice

Saathi Bot v1.0 is currently in public availability with full free tier access. No recurring subscription fees are currently collected. This policy is published for full commercial transparency and will govern all paid subscription plans upon commercial billing launch.

1. How to Cancel Your Account or Bot

We believe cancelling a SaaS service should be as frictionless as signing up. You can cancel your subscription or delete individual bots at any time directly through your dashboard:

  • Cancelling a Subscription: Navigate to Organization Settings → Billing and select Cancel Subscription. Your cancellation will take effect at the conclusion of your current prepaid billing cycle.
  • Deleting an Individual Bot: Navigate to Bot → Settings and select Delete Bot. Organization owners have full administrative authority to decommission bots at will.

2. Data Lifecycle After Cancellation or Deletion

In exact alignment with our database architecture and Row-Level Security rules:

  • Immediate Widget Inactivation: The moment a bot is deleted or an organization plan expires, the embeddable widget immediately ceases serving chat responses, returning a clean fallback state to prevent service disruption on your website.
  • Cascading Database Purge: When an organization owner triggers bot deletion, our automated PostgreSQL foreign key cascade (ON DELETE CASCADE) permanently purges all 9 related tables:
    • • Document chunks & 768-dim vector embeddings
    • • Crawled web sources & uploaded PDF binaries
    • • Visitor chat sessions & conversation history
    • • Allowed origin domain whitelists
    • • Custom launcher configurations & theme settings
    • • Unanswered question clusters & active learning logs
  • No Hidden Backups: Purged vector embeddings and chat logs cannot be recovered once confirmed.

3. Refund Terms for Paid Plans (Upon Launch)

Once paid commercial subscriptions are activated, the following refund standards will apply:

  • Monthly Subscriptions: Monthly plans are non-refundable once the billing month commences. You may cancel at any point prior to the monthly renewal date, and no further charges will occur.
  • Annual Subscriptions (7-Day Window): If you choose an annual commitment and determine within seven (7) calendar days of initial billing that Saathi Bot does not meet your technical requirements, you may contact billing@saathibot.com for a full, hassle-free refund.
  • Platform Outages: In the rare event of prolonged, verified platform unavailability exceeding 24 continuous hours caused solely by Saathi Bot infrastructure failure, customers may request a prorated service credit for the downtime period.

4. Bring-Your-Own-Key (BYOK) Third-Party Charges

Because Saathi Bot supports Bring-Your-Own-Key (BYOK) architecture, API tokens consumed directly from your Google Gemini, Groq, OpenAI, or Claude developer accounts are billed directly by those upstream providers to your credit card. Saathi Bot does not collect, markup, or refund payments made to third-party AI model providers.

5. Billing Support Inquiries
